SUMMARY

The Collections Manager plays a critical role in the care, documentation, and administration of the Javett-UP’s permanent collections and loaned artworks and the production of exhibitions. This role involves overseeing object records, coordinating art movement and logistics, managing art storage and digitisation, and working closely with curators, technicians, and external partners. The position is central to ensuring that the Javett-UP meets international best practices in collections care, while supporting the institution’s curatorial and public engagement programmes.

KEY AREAS OF RESPONSIBILITY 

        Manage and Maintain Collection Records: Maintain accurate documentation of the permanent collection, loans, and exhibitions, including condition reports, movement tracking, and regular updates.

        Oversee Art Handling and Storage: Ensure correct art handling during installations, maintain museum-standard storage, supervise contractors, and uphold OHS compliance.

        Coordinate Exhibitions, Production  and Logistics: Support exhibition planning and manage calendars, logistics, and insurance for national and international artwork transport.

        Support Administration and Compliance: Assist with procurement, budget planning, update insurance and valuations, manage loan agreements, and oversee copyright permissions.

        Engage in Research and Public Programming: Contribute to curatorial research, educational activities, and projects in collaboration with academic and heritage partners.

        Liaise with Stakeholders and Supervise Staff: Build and maintain relationships with donors, lenders, and artists, while mentoring interns and supporting incident reporting.

 

EDUCATION AND EXPERIENCE

      Relevant degree in Art History, Museum Studies, Cultural Heritage, Archaeology, or similar.

      Minimum 3 years’ experience in a gallery, museum, or cultural heritage setting.

      Proficient in digital collections databases and management systems.

      Knowledge of collections care, basic conservation, and art logistics.

      Experience with installation, handling, packing, and storage of artworks.

      Commitment to ongoing learning and professional development.

 

SPECIALISED KNOWLEDGE AND COMPETENCIES

        Strong administration and coordination skills.

        Excellent research skills.

        Excellent communication skills (written and verbal).

        Strong writing skills with the ability to draft, maintain, and regularly update clear and accurate reports.

        Strong computer skills, including proficiency in Microsoft Office, email services, internet usage, and a willingness to learn new software and systems.

        Knowledge of art history.

        Passion for and understanding of contemporary culture from Africa and its diaspora.

        Detail-oriented, with a clear appreciation for accuracy, consistency, and record-keeping.

        Enjoys working with systems and processes that support efficiency and order.

        Knowledge of digital database systems

        Knowledge of artmaking processess and materials, and awareness of art conservation

 

KEY ATTRIBUTES

The ideal candidate is sharp, organised, and proactive, with meticulous attention to detail and a genuine passion for art conservation. They should be an excellent communicator - both written and verbal - with a proven ability to draft clear reports and maintain accurate records. Tech-savvy and adaptable, they are confident using digital tools such as Microsoft Office and collections databases, and are eager to learn new systems. With a strong grounding in art history and a deep interest in art and artists from Africa and diasporic culture, they bring both knowledge and curiosity to the role. They should be able to work well independently and collaboratively, approaching challenges with a calm, solutions-oriented mindset. Flexible and dependable, they are willing to assist during after-hours installations when needed. As the role involves handling, packing, and moving artworks, the candidate should be healthy and comfortable with the physical demands of the position.
